Google Form or event page? What to use for your meetup registrations
A form plus a WhatsApp group solves Saturday, not the day of the event. An honest comparison with a free event page.
The setup almost everyone uses
A Google Form to sign up and a WhatsApp group to send updates. It is fast, it is free and everyone knows how to use it. To gather twenty friends, it is plenty. The trouble starts when the event grows: an open talk, a monthly meetup, a tasting for a hundred people, a chamber of commerce day.
That is where the setup breaks in three places.
Where it breaks
1. The guest gets nothing useful. They fill in the form and see "response recorded". The event does not land in their calendar, no reminder arrives, there is no ticket. Half of them forget. You compensate by messaging the group, which is your work, every time.
2. The group exposes everyone. Every person who joins sees everyone else's phone number. At a work event that is awkward; at a public one it is a privacy problem. And the group fills up with conversations nobody asked for.
3. On the day, nobody knows who is who. The list lives in a spreadsheet. Someone at the door hunts for names with a finger. Inside, the people who came to meet people end up talking to the ones they already knew.
What changes with an event page
An event page, on the Circli free plan, solves all three without more work on your side:
- The guest gets everything on their own. A confirmation with the event in their calendar, a reminder the day before, a QR ticket by email.
- Nobody sees anybody's phone number. Everyone signs up with their email. There is no group. If you want a channel, there is the portal chat, where each person decides who they talk to.
- The day has a portal. Agenda, directory of who is there, and the AI that suggests each person who to meet and why. At the door, one scan and they are in.
And it costs nothing: no card, no registration limit, no fee.
When the form is still the answer
Let's be fair. If it is fifteen people who know each other, you do not need a page: one message is enough. If all you want is a headcount for an internal meeting, the form is fine. And if your event lives inside a tool you already use (a campus, a CRM), check first whether that tool solves it.
The page wins when there are people who do not know each other, when the event repeats, or when you want the people who came this month to come back next month.
